Frequently asked questions

No. Orders, billing, kitchen screens, the Waiter App and printing run on your own computer and restaurant Wi-Fi. Internet is needed to activate the POS the first time, to renew its access at least once every 30 days, and for cloud reports, the Owner app, QR ordering from mobile data and WhatsApp.

You can download and install at any time. Before the POS takes orders, your restaurant must be registered and approved by the KhataRasoi team. Approval is a single step; after that you get your permanent Restaurant ID and can set up everything yourself.

Nothing is deleted. Your orders, payments, customers and backups stay on your computer. New orders are paused, but open bills can still be settled and reports read.

Windows 10 and 11 (64-bit), macOS (Apple Silicon and Intel) and Linux (AppImage, DEB, RPM). The Waiter App and kitchen screens run in the browser of any phone, tablet or computer on the same network.

ESC/POS thermal printers over USB, network (LAN/Wi-Fi) and system print queues, in 58 mm and 80 mm widths, plus cash drawers connected to the receipt printer. Test your exact printer during setup before going live.

You link the restaurant’s own WhatsApp to the POS by scanning a QR code (WhatsApp › Settings › Linked Devices), or with a pairing code. The POS can then send bills, photos, PDFs and order updates to customers who agreed to receive them, and you can read and answer replies. One-click bill sharing (it opens WhatsApp with the message ready) works without linking. No Meta developer account or API keys are needed. KhataRasoi never sends from a shared number. The linked-device connection is not an official WhatsApp product: WhatsApp can change it or restrict numbers used for unsolicited messages, so message only customers who expect it.

Yes. Coins and cashback are earned once per paid bill, a refund takes back the matching share, and repeated or replayed payments never credit twice. Balances are kept even if loyalty is switched off.

Yes. Each outlet is registered and approved separately and gets its own Restaurant ID, menu, staff and data. You see them together in KhataRasoi Cloud and the Owner app.

No. Every outlet is isolated. Customer phone numbers and names stay on your POS and are not uploaded to the cloud for reporting.

Indian tax configuration (CGST/SGST/IGST style components, inclusive or exclusive pricing) is built in. Your accountant should review your tax setup before you go live.
